6 Questions to Ask AP Automation Providers About their Integration

Accounting teams are often the last to know when an integration is held together with workarounds. When accounts payable software connects to Business Central through a fragile middleware layer or flat file integration, the risk does not stay in IT, it shows up as sync errors, duplicate entries, broken approval workflows, and manual cleanup that falls on finance staff.

Asking the right questions before selecting a solution is the difference between a system that supports successful period closings and one that complicates the entire accounting process.

6 Questions Finance Teams Should Ask

  1. Is your solution built natively inside Business Central, or does it rely on a middleware or external integration layer?
  2. When that integration layer breaks or goes out of sync, who owns the fix and what is the SLA?
  3. How do dimensions sync, and what happens when the dimension structure changes after go-live?
  4. What happens to the AP workflow when Business Central releases an update?
  5. What does implementation typically require in terms of timeline and internal IT resources?
  6. Does any part of the workflow require leaving Business Central to access a separate portal or interface?

Accounting teams that push for technical clarity before a purchase decision are doing more than protecting their day-to-day processes. They are preventing the kind of recurring integration failures that drain IT resources for months after go-live. When finance comes to the table with the right questions, IT does not have to clean up a bad vendor selection after the fact. That is the kind of due diligence that earns long-term trust across departments.
