Dynamics 365 CRM for Shopify Wholesalers: What Goes Where

Dynamics 365 CRM for Multichannel Wholesalers on Shopify: What Should Own What?

The short answer: a multichannel wholesaler should let Business Central own stock, pricing, credit and orders, let Shopify own the online storefront and B2B checkout, and let Dynamics 365 Sales own accounts, pipeline and rep activity. Microsoft's native connectors link all three, so every channel sees one price, one stock figure and one customer record.

That split sounds simple. Most UK wholesalers we meet run something messier: a Shopify store bolted to an accounting package, a CRM such as HubSpot or Zoho stretched to run back-office tasks it was never built for, and a sales team keeping account notes in spreadsheets. Getting the ownership right before configuration is what separates a clean rollout from a second reimplementation.

Key takeaways

  • Business Central is the system of record for items, prices, inventory, credit limits and orders.
  • Shopify B2B handles self-serve trade ordering, with company accounts and catalogs fed from Business Central.
  • Dynamics 365 Sales manages relationships, opportunities and rep activity, and reads stock and pricing from Business Central.
  • Smaller teams with simple selling may not need Dynamics 365 Sales at all.
  • Scope the integrations in a short analysis phase before anyone quotes a build.

Why do wholesalers need a CRM when Shopify already holds customer data?

Shopify knows what a trade customer bought online. It does not know the call your rep made on Tuesday, the account's credit position, the quote sitting with their buyer, or the volume they used to order before a competitor undercut you.

Trade buying habits are shifting fast. Gartner found that 75% of B2B buyers prefer a rep-free sales experience, based on a survey of 771 buyers. The same research warned that buyers who purchase through digital channels alone are more likely to regret the purchase. More recently, Gartner reported that 69% of B2B buyers turn to sales reps to validate AI-generated insights.

For a wholesaler, that means two channels serving one customer. Reorders flow through Shopify without a call. Range reviews, new listings, price negotiations and lapsed accounts still need a rep with full context. A CRM connected to the ERP gives that rep the context; a storefront alone cannot.

Which system should own each record?

Disputes over "which number is right" usually trace back to two systems both believing they own the same data. Settle ownership on paper first.

The tooling supports this model out of the box. Microsoft's Shopify Connector for Business Central synchronises items, inventory, customers and orders, and its B2B capabilities cover companies, catalogs and payment terms. Business Central can also use customer price groups and discounts when synchronising prices, so a trade account sees its own price online.

On the CRM side, the Business Central integration with Dynamics 365 Sales couples customers to accounts, items to products and customer price groups to price lists. It supports two-way sales order synchronisation, and a scheduled job updates item availability for reps every 30 minutes by default.

Where do multichannel wholesalers lose margin today?

Three leaks show up repeatedly in discovery workshops with UK suppliers:

Price drift between channels. A rep agrees a special price by email, but Shopify still shows the list price, so the customer either overpays and complains or orders by phone to get the deal. Driving both channels from Business Central price groups removes the gap.

Overselling slow stock. Stock committed to a large rep order is not reflected online until someone keys it in. Customers order items you no longer have, and credit notes follow. A single inventory source, published to every channel, cuts that rework.

Invisible account decline. An account that drops from weekly to monthly online orders rarely triggers a call, because nobody sees the trend. When Shopify orders land in Business Central and roll up to the account in Dynamics 365 Sales, reps can be prompted before the customer drifts away.

None of these require exotic technology. They require one system owning each record and disciplined integration testing.

When is Dynamics 365 Sales more than you need?

Plenty of wholesalers with a small sales team, few reps in the field and largely repeat ordering do not need a separate CRM licence. Business Central includes contact management, interaction logging, campaigns and opportunity tracking. For a business with two or three internal account managers, that may cover the requirement.

Dynamics 365 Sales earns its place when you run field reps, manage structured pipelines for new listings or key accounts, need forecasting, or want Copilot assistance inside the sales workflow. The honest test: if your sales process fits inside Business Central's contact and opportunity pages with room to spare, start there and add Sales later. The Dataverse integration means you can phase it in without rework.

How does a scoped rollout run?

Wholesalers that come to us after a stalled project often share one root cause: the Shopify integration was estimated before anyone mapped pricing, variants and B2B rules. Our approach starts with that mapping.

  1. Analysis phase (typically two to four weeks). Map price structures, item variants, pack sizes, B2B company rules, EDI partners and data ownership. Produce a fixed scope.
  2. Business Central core. Finance, items, pricing, inventory, purchasing and, where warehouse volume demands it, a mobile WMS such as Tasklet.
  3. Shopify connector. Configure B2B companies, catalogs and price sync; test refunds, partial shipments and edited orders.
  4. Dynamics 365 Sales. Couple accounts, products and price lists; build rep views for credit, stock and order history.
  5. Hypercare. Reconcile every channel daily for the first weeks, then hand over to support.

These durations are typical estimates for a core-tier wholesaler. Validate them against your own SKU count, channel mix and integration list before budgeting.

Frequently asked questions

Can Business Central connect to Shopify without a third-party connector? Microsoft provides a native Shopify Connector inside Business Central. It handles items, inventory, customers, orders and Shopify B2B companies and catalogs. Third-party tools still help with complex EDI, marketplaces or heavily customised storefronts.

Does Dynamics 365 Sales integrate natively with Business Central? It does, through Microsoft Dataverse. Accounts, contacts, products, price lists and sales orders synchronise, and reps can see item availability from Business Central inside Sales.

Should a wholesaler use HubSpot or Zoho instead of Dynamics 365 Sales? Both can work for marketing and pipeline. The trade-off appears when reps need live stock, trade pricing and credit status from the ERP. A native Microsoft integration avoids building and maintaining that connection yourself.

How much does a Business Central, Sales and Shopify implementation cost in the UK? Cost depends on SKU volume, pricing complexity, warehouse needs and the number of integrations. A short analysis phase gives you a fixed scope to price against, rather than an estimate built on assumptions.
